What are the disadvantages of a WhatsApp Business account?

Last verified November 2026

The main disadvantages of a WhatsApp Business account are that a whole team shares one identity with no separate logins or permissions, automation stops at simple greeting and away messages, and broadcasts are capped at 256 people per list who must have saved your number. It also has no reporting per person and no real customer records. For one person on one phone these limits rarely matter, and the app remains a good free tool, but they start to hurt as soon as a team answers the same number.

Here is each one in practice, who it affects, and what you can do about it.

Can several people use one WhatsApp Business account?

Only in a limited way, and this is the biggest disadvantage for most businesses. You can link up to four extra devices to the account, but every screen is the same account. There are no separate logins and no permissions, so anyone with a linked screen can see every chat.

In practice, colleagues answer the same customer twice, or each assumes the other did. A departing employee's access has to be removed by logging out their device on the phone, and it is easy to lose track of which screen is whose. WhatsApp also sells a paid multi-agent option through Meta Verified for business; what it includes varies, so check WhatsApp's Help Center for your country.

How much can WhatsApp Business automate?

Not much. Greeting messages, away messages and quick replies are the core tools, and greeting and away messages are configured on the phone. There are no rules such as "if the message mentions prices, reply with this and tag that person", no way to share out new chats between people, and no alert when a customer has been waiting too long.

What are the limits on broadcasts?

A broadcast list holds up to 256 people, and a recipient only gets your message if they have saved your number. That second rule surprises most people, because the message simply does not arrive for everyone else, with no error. Lists are built by hand on the phone, too. For a shop with a few hundred regulars this can be enough, but it is not a campaign tool.

Does it keep customer records or show team performance?

No. Labels sort chats, but a label is not a customer record, and there is no board showing where each lead stands. There is also no way to see how fast your team answers, or who handled what, because everything happens under one identity. Anything beyond that ends up in a spreadsheet kept by hand.

Is a WhatsApp Business account safer from bans?

No. It looks more official, but the same rules apply, and a Business number can be restricted or banned like any other, usually for sending messages people did not ask for or for being reported. If your whole business lives on one number, that is a risk worth planning for, whichever app you use.

Does the WhatsApp Business API fix these problems?

It fixes some and adds others. Through a vendor, you get a login per person, automation and a formal allowance for sending in volume. In exchange you go through an application and business verification, usually use a dedicated number, need approved templates to start conversations and pay Meta on template messages. Your existing groups do not come along. For high-volume senders that is a fair trade. For a small team that mainly answers customers, it often is not.

What can you do about it without changing your number?

If you work alone, probably nothing, and that is fine. If a team has outgrown the app, a shared inbox adds what is missing on the number you already use. Spun does this on your own WhatsApp number, without the WhatsApp Business API: a login per person with permissions, auto replies and chat flows, paced broadcasts, labels, kanban boards and contact records, from $49 per month with unlimited team members.

It does not remove every limit. It is a linked device, so the session can drop and need a new scan, normal WhatsApp limits still apply to your number, and it has no pre-approved templates or official bulk allowance.

Frequently asked questions

Is WhatsApp Business worse than regular WhatsApp?

No. For business use it adds a profile, labels, quick replies, greeting and away messages and a catalog. The disadvantages above are limits compared with team software, not compared with regular WhatsApp.

Does a WhatsApp Business account cost money?

The app itself is free. WhatsApp sells paid extras such as Meta Verified for business, and the separate WhatsApp Business API is always paid.

How many people can use one WhatsApp Business account?

The account can be linked to up to four extra devices, all acting as one identity. For separate logins per person you need team software or WhatsApp's paid multi-agent option.

Should a very small business still use it?

Yes, in most cases. For one person, the free app gives you a profile, labels and quick replies, and none of the limits above get in the way until a team shares the number.

Outgrown the app, but not your number?

Keep the number your customers know and give each teammate their own login. Try it on a free trial. The plan is paid after the trial.
